8 tips for planning a group trip






When we decide to go on a group trip  with family or friends, we feel that it should be memorable and we should not come across any bad experiences. To make it happen according to our wish, there needs to be an endless amount of planning done on our behalf especially if you are choosing not to go on a tour with any travel agency. But, if you follow these easy steps, you can smoothly plan your group trip and avoid any kind of chaos (without headaches)!

Here's a step by step guide to organize your group trip:-


1) How many people are travelling?

You should confirm with the group of people you are travelling along, if they won't cancel their plans at the last moment. You should be extremely cautious about the number of people you will be travelling with. If someone cancels his/her trip at the last minute, there would be serious problems about the flight bookings, accommodations and transport. You may not get refunds and your money may be wasted. Most importantly, check whether every member of your group has the required documents to travel like passport, Identity cards/ driving licensee etc.  


2) Decide or set a budget

Budget travelling is not a challenge if you are travelling in a group. You can easily get discounts if the number of people travelling with you are more than 4 persons. But, you should decide on a budget together and contribute the required amount. Also, work out about how to split the bills when you're travelling on road. For example, when you stop somewhere to eat or shop, one person should pay everyone's bill but after the trip, everyone have to pay for their own expenses. Decide what kind of hotels do you want to stay in; 3 star, 4 star or 5 star and then select your budget accordingly.

3) Split your work
You should have a responsible person to be in charge of the group. He/she should decide the planning or what needs to be done when on the trip. Or you can split up and handle different aspects of the trip, so everyone has a category to look after. For example, one person books the accommodations and carries a printed copy about the same with himself, another person manages the flight tickets, another person books for transport and the remaining people look after travel documents and restaurants to eat during the trip.

4) Book cheap air tickets
Now a days, the prices of airlines have gone up high. You need to book the cheapest flights, if you're travelling in a group. Make sure you book your travel much earlier to get discounted rates. But, you can also get last minute package deals and check whether there is a group rate available. When you are booking your flight, make sure that the hotel you have decided to stay in, has rooms available and is not completely sold out on the dates you have booked your flight tickets or your budget may get affected. To look for cheap airfare, you can book flights from travel apps like Skyscanner , Expedia, Kiwi.com, Loungebuddy, Skyguru  There is a flight booking option available on Amazon too. 

5) Download a common travel app
Every person in your group must download the same travel app so that everyone can take care of the expenses, know about what's happening and what each one has to do. Apps like Hopper, TripIt, Waze, Roadtrippers, TripLingo, GlobeTips, Google maps, Meetup, Smart traveller, Trip Whistle etc may help. 

6) Pre-plan the places you want to visit
Get information about the place you are going to visit by reading guides, books, travel blogs or simply google about it. Make a list of tourist places you feel like visiting and check the transport facilities available in that place. Check if cabs like Uber work in that particular place or arrange for local transport. You can even split up. Just because you are travelling together, doesn't mean that you cannot visit some places you want to see. For example, a place that you particularly want to visit may not be in the list as the others do not want to go there. In such a case, book your own transportation beforehand and figure out how and when you can visit your desired destination. Don't be afraid to go explore on your own. Remember that you have very much paid for your own vacation and do something that you really want to do with no regrets! Just to be on the safer side, inform someone before going out and keep in touch with them throughout the way. 

7) Book a hotel and keep an alternative option available
Ask about the opinions of the others before choosing a suitable hotel that fits the criteria perfectly. Choosing the place to stay makes a big difference to your travel experience. After all, no one wants to stay in a hotel that fails to meet your expectations. You don't have to stay in a hotel unless you like all-inclusive packages. You can also stay in guest houses, home stays , apartments or houses. This enables your group to spend time together in a common living room rather than getting crammed up alone in your rooms. You can cook together, converse about different topics, play games etc to make your trip more fun and the chances of you getting bored would be nulled.  This way, you can get to stay in local houses at affordable prices and get the complete experience of enjoying lifestyle at the particular place. 8) How to split bills after you return?

When you return after your vacation, felling all chilled and sun kissed, the moment you have to cover up your group expenses, the vacation feel and thrill is all gone. But don't worry, to make the bill splitting easy, there are a few reliable apps that can help you.
Use apps like Divvy, Splitwise, Billr, PayPal or GooglePay .
Don't argue for just a cheap amount of money that you failed to get. Remember, the people are your friends/family who you actually like. So, forget small feuds and focus on more important matters and maintain your relations.

  6. You have some good advice here. I have had several group trips that did not end well, mostly because people didn't want to pay their portion after agreeing to it months earlier. But I've had several trips with extended family that were a blast. Hopefully we will all be traveling again soon.
